Special events, whether it's a one-time gathering focused on a specific purpose or a week long expo needs to be planned in advance. You must clearly define the purpose of the event and what the end goal is. Is it to successfully launch a new brand to gain media mileage? Is it to gather a focused group of professionals and experts on a particular industry? Or is it something personal? Maybe a birthday party or even a wedding. In any case, you must do event planning to make it a success.

Event planning usually covers the process of making plans for festivals, ceremonies, competitions, conventions and most of all Parties!

Event planning covers date and schedule prepation, budgeting, event site selection, site reservation, permits processing, planning or transportation, parking and lodging if necessary.

Depending on the type of event, it is not unusual for the the event planner to include plans for a theme or motif specially for weddings and arranging of speakers for conventions and expositions. It also covers coordination and location of support groups for electricity, video crew, food staff, and other utilities.

Event planners must also have plans laid out for decoration arrangements, table arrangement, sitting arrangements, chairs, tents and also security specially for VIP events. You must also have plans for portable toilets, parking, signage, and after that the cleanup crew.
For high-profile gatherings, it usually involves coordination with police, fire, emergency plans and on site emergency health professionals.

Here's detailed and step by step plan you can use to start with in your event planning:

1.Develop Strategies for the Success of the Event

Determine the purpose of the event and try to see if the time and expense needed for the event is appropriate with the outcome desired. Do you want to launch a brand? Gain new product users or thank your supporters? Define it in the purpose. Then make sure you plan in advance. There's nothing worse than to do an impromptu event with little or totally no planning at all. It's a recipe for disaster and stress.

Make an itemized list that you can cross out once it's finished or ready. This will make sure you won't miss out on the details of the event plans.

3. Create a Budget

The objective in creating a budget is to provide you with a financial blueprint of how much you need to spend to make the event a success. It must be budget specific and should cover every item you need to spend money on. There's nothing worse than to miss purchasing or acquiring something that would later be critical to making the event a success. Examples of expenses includes printing, permits, insurance, speakers, food, supplies and security.
The budget should also include revenue opportunities like sponsoship, ticket sales, donations, concession sales.

4. Consider Logistics

Logistics include planning for size of space or building, utility support, setup or tables/chairs/tents/portable toilets/parking and signage, coordination, cleanup, emergency plans, transportation, and some public services such as police and fire departments if necessary.

5. Plan The Publicity

Promoting a special event takes creative thinking balanced with practicality. The primary objective is to publicize the event, but secondary objectives should be considered.
Are you trying to inform, educate or entertain? Increase awareness or attendance of the event? Build a base support from a specific audience? Facilitate good community relations?
Brainstorm all the available media in including marquees, internet, school newsletters, church announcements, and cable and commercial stations. Make a detailed list with names of whom to contact and when.

6. After the event, Evaluate It's Effectiveness

Take time to evaluate right after the event while the details are fresh. You may want to consider having a questionnaire for participants to fill out. Some general evaluative criteria include:

Did the event fulfill its goals and objectives?
Why or why not? Identify what worked and what needs fine-tuning.
Which vendors should be used again?
What items were missing on the checklist?
Was the event well attended? Was informal and formal feedback about the event positive? Given all that went into staging, was it worth doing?

It is important to remember to celebrate your successes and to thank all those who contributed.
